Job Description: Document Handler – U.S. Taxation

Role & Responsibilities:

  • Manage, organize, and maintain physical and digital tax documents for U.S. individual and business clients.

  • Ensure all supporting tax records (W-2s, 1099s, K-1s, 1040s, etc.) are accurately received, categorized, and stored according to IRS compliance standards.

  • Verify completeness and accuracy of client documents before tax preparation and filing.

  • Assist tax preparers and CPA teams by providing timely access to client documentation and prior-year records.

  • Manage secure document transfer through encrypted email, portals, and cloud-based filing systems.

  • Ensure strict confidentiality and data protection in accordance with IRS Publication 4557 and firm compliance protocols.

  • Track document status for pending, missing, or incomplete client submissions and follow up proactively.

  • Support e-filing, amendment, and audit preparation processes by maintaining document version control and retention logs.

  • Review signed e-file authorizations (Form 8879) and ensure proper archiving.

  • Maintain documentation for ITIN applications, FBAR/FATCA reports, and other international compliance filings.

  • Coordinate with internal teams for IRS or state correspondence management and maintain related records.

  • Participate in internal audits and process reviews to ensure document accuracy and filing consistency.


Preferred Candidate Profile:

  • Strong understanding of U.S. tax document structures (individual and business filings).

  • Experience working in tax preparation, bookkeeping, or accounting environments.

  • Proficiency in MS Office Suite and document management tools (Google Drive, OneDrive, or similar).

  • Familiarity with tax software (e.g., Drake, TaxSlayer, or ProConnect) preferred.

  • High attention to detail, accuracy, and organizational skills.

  • Ability to handle confidential financial information with discretion.

  • Excellent communication and coordination abilities within a remote or hybrid team environment.
